Terms for Organisers

Kulturnatten is coordinated by Destination Uppsala on behalf of Uppsala Municipality’s Cultural Affairs Committee and is responsible for marketing, printed materials, programme information, and certain permits.

The organiser is solely responsible—practically, legally, and financially—for their own events.

1. Registration

Registration is done via the website. The project management reserves the right to edit all submitted texts.

2. Permits

Police permits for Kulturnatten’s outdoor activities and permission to use municipal land are applied for collectively (and paid for) by Destination Uppsala. The organiser commits to following the instructions stated in the police permit, according to the Public Order Act, as relayed by the Kulturnatten project management. Private landowners must be contacted by the organiser directly for approval.
The organiser is responsible for complying with Swedish law and obtaining any necessary additional permits.

Fire Safety
For public events both indoors and outdoors, fire safety is of utmost importance. Check the following:
- the venue’s fire safety measures
- emergency exits
- the maximum number of occupants allowed in the venue

3. Accessibility

It is important that the organiser fills in the accessibility information correctly in the registration form. Read the requirements for each option carefully before completing the accessibility section.
There are many types of functional variations that can make daily life challenging. During Kulturnatten, large crowds are expected both indoors and outdoors. It may be difficult for everyone to access public buildings or shops, and there may be ground signage blocking sidewalks. Organisers are expected to actively work to improve access for people with functional variations.

4. Organiser’s Commitments and Responsibilities

The organiser undertakes to:

- deliver programmes and activities for Kulturnatten as agreed
- coordinate the content of the activity with the Kulturnatten project management
- inform and receive approval from the Kulturnatten project management well in advance for any potential partners or sponsors
- staff and fund their activity with personnel throughout its duration
. adhere to and respect Kulturnatten’s schedule and directives for setup and takedown
- not distribute flyers or other promotional materials within the event area without approval from Kulturnatten. If littering occurs, Kulturnatten reserves the right to charge for cleaning costs.

5. General Terms

If the organiser fails to comply with the instructions stated in the police permit and relayed by the project management, Destination Uppsala has the right to take corrective action and charge the organiser for the associated costs.
